An appraisal letter is a written document that highlights an employee’s contribution to the organization.   1. Subject line: Subject lines are a staple to emails and letters. Start your letter with a short sentence that gives the receiver of the email an idea of what the email is about. Examples of effective subject lines for appraisal emails include Appraisal Letter, Performance Appraisal Letter, etcLetterseting: Go on with a salutation that welcomes your employees. Greetings like Dear [Employee First Name and Last Name] would add a personal touch to the letter. Don’t address the letter to all the staff in one greeting. Remember that you are giving feedback to your employees. 
  2. Opening paragraph: An opening paragraph will set the mood for your entire letter. Start with a tone of positivity and ease your employee into the performance review. 
  3. Body paragraphs: These paragraphs would hold the main contents of your feedback. Keep it brief and succinct. Appreciate your employee even though there are some wrongs you want them to work on. Be positive and encouraging always. 
  4. Closing paragraph: This paragraph should have a little constructive criticism and a lot of hope for the future. 
  5. Closing salutation: Another staple in email or letter writing. Close the email with “Yours Sincerely” and add your name and designated post.
