Professional E-mail Requests: Examples for Commercial Activities

When I became the International Relationship Manager for Marygold, I didn’t anticipate the amount and diversity of emails that would be required.

One of my most important discoveries is the value of having email examples or templates to work with when I’m short of words to use. These professional email examples provided me with more ideas for writing emails to our suppliers. Even though I didn’t copy the examples verbatim, I was able to glean a lot of insight from the examples I had access to.

This article is a compilation of nicely written professional email requests that would help you in handling commercial discussions via email. They include requests for supply of materials, return of goods purchased and so on.

Professional E-mail Requests Example 1: Fixing Bank Error

    Dear Mr. Ben,

I would like to report an error on my bank account balance. A check of $3000 was deposited into my account on 15th of January 2016. Unfortunately, this payment has not reflected in my account yet. On the 5th of February, 2016, I made a complaint physically at your “customer inquiry desk”; and yet I haven’t seen the payment in my account.

A copy of my check, numbered 131, is attached to this email. Kindly look into this issue and let me know if you need more information about my plight.

Please inform me as soon as this issue has been fixed.

Professional E-mail Requests Example 2: Cancelled Subscription

    Dear Ms. Allen,

I replied you in March and requested that you cancel my subscription to Highpoint Magazine and reimburse the remaining part of the subscription. This is August and I am still getting the magazine. I have just received the September issue today.

I have attached further information on the titles and date of the magazines sent without my approval to hasten the cancellation of my subscription. I also rely on you to reimburse my money for the six months issues you sent since my cancellation request was made initially.

Thanks so much for your reflection on this issue.

Professional E-mail Requests  Example 3: Free Product Samples

    Dear Mrs. Humphrey,

We would like to introduce a social event for founders and proprietors of fashion companies to you. This event is organized by Fashion and Styles magazine. Over the years, the event has grown bigger and bigger.

This year’s social event will take place in the country’s capital city – Abuja. Besides the outstanding event plan for all participants, the event is an occasion for the community receiving you as a guest to invite business to its region by displaying the goods produced by the businesses of this region.

Customarily we have sent information to the companies in this region on the need to donate goods that will be deposited in the hotel lodges of the social event attendees as a share of their welcome package. Would you contemplate assisting us with 300 cartons of sweet plantain chips that we can add in the package? Definitely, we will also add writings on your business and the range of products you have.

The social event will take place at the City Hill Hotel and conference center beginning from April 10. Samples of the product can be sent to me at the conference center where we would gather the entire welcome package. However, if it is more convenient for you, we will send a vehicle to pick up the samples before the event.

I will call your office in the next two weeks for a follow-up on this email. For any questions, please don’t hesitate to call me on +2348157479837. Thanks in anticipation of your participation at the social event.

    Best Regards

Professional E-mail Requests  Example 4: Information About a New Product

    Dear Mr. Duncan,

A huge number of requests have been received by us for the engineering toy kits your company produces. We are originally into kiddies’ bookselling business but we have decided to broaden our offers by adding products that will be good supplements for our books and relevant to our goals of developing kids to be engineers and manufacturers.

Please send some details about your products to me and any other essential material that will assist us to conclude if that is the kind of product that will fascinate kids who are between the ages of 1-12 years. Thanks a lot.

Professional E-mail Requests Example 5: Pricing Information

    Dear Mr. Mike,

We organize a series of coaching clinic for secondary schools’ table tennis coaches at our college every summer. At arrival, we give all participants a writing board with a clip that is made up of the week’s plan as well as writing pads for taking notes and clipping all the training documents they will be given during the week.

I saw a catalogue with my colleague showing your company’s ranges of writing boards with clips for seminars and training programs. The price indicated per writing board is $10. We would be making an order for at least 60 of the writing boards at a time. Is there a discount package for bulk purchase? I will also like to know the minimum price if we ordered for 15 or more writing boards.

Please send the details of the pricing and any other essential material.
